i will be very happy to see martin, (adrian) gt4uk, snakeloa and many new friends.
and i also want to see most of celicas that i only saw them at internet. like red angel ops sorry orange and gtfour.ch family. i like their meetins so much. i think snekeola can commucate with them for this meeting. i would like to see fensport cars and this purple 600 bhp gt four from uk also. and the black hks gt four from gtfour.dk ( i think its orrange now too)
who knows may ne we have a track biggrin.gif
btw. should a celica should be orange to be a show car? mad.gif

I think quite a few of us will be more than happy to participate... Usually about 20+ Celicas ST205 are @ our meetings.





Let me please say something: LETS MAKE THIS BIG!!!

First of all we have to organize a few things.

1) We all know that we want to hold a pan european Celica meeting. Fine.
So we have to make sure that all of the communities and boards like 6GC, GTFour.ch,GT4OC, GT4EC, GT4DC, CelicaTech, all Celica boards and Celica sections of all Toyota boards know about this!

Therefore we have to have 1 organizer from each country (a person who will come to the PECM smile.gif and who is responsible for the organization of his country [information to his members, convoy planning...]) If the responsible person of one country will find out after a while that he won't be able to come to the meeting, he will have to give his organisation and all information to another member of his country! Then we will be on the save side wink.gif and everybody is informed

Lets make a list for these "Country-Organisators":[country: Nickname @ which international board, real name, email:]
Cyprus:
Germany: Snakeloa @6GC, Joerg Calvis, Joergcalvis@gmx.de
UK:
Sweden:
Netherlands:
France:
Switzerland:
Austria:
Italy:
Czech Repub.:
Russia:
USA: Even if there won't be many. Maybe one or two of them would like to come without their car. Lets see i guess there will be somebody who will give them a ride on the passenger side!

... please copy and add your country

2) We have to find a responsible organization crew! 2-3 people who will receive all the information of the resposible "Country-Organisators" and who wil finally organize the meeting! I would recommend a list with:

1.: Recycle as he had the bloddy idea wink.gif
2.: a person @ the location
3.: a person @ the location

3) We have to know what we want to organize: OK, it could be a meeting with:
Trackday, 1/4 mile, roundtrip through the mountain side, food, tech and talk, hotel, culture, video shoots, music and party maybe @ tracksite ...?

You see we have a lot of options.
But if we decide that we go on a track or do a !/4 mile or parcours event.... then we need a place for that! (Track, Airfield....) Then we should plan the other parts of the meeting around that.

We have to see that we might have a few hundred cars out there!!! I would guess 250-400 Or what do you think???

4) As a lot of us have got a long trip to get there, we should make it at least a full 2 day event (that means plus 1 day arrival and 1 day leaving) Beside that we could do it like @ the GtFour.CH Meetings and do a Video shooting day for all who would like after the event days.

Organisation is the moooooost important thing to make this event a happening smile.gif

first of all i believe is better to let wolf organise anything (he knows better what is good to see there and what is not + tracks, hotels, parking)

second is too soon to say someone for sure that is coming. many thinks can happen in 1 year.

third and most important: its a celica meeting, not a gt4 one, so if u have friends with celicas (any year/model) tell them that they are welcome smile.gif

1) I am cool with that. For me it is not important who is going to organize that. It is how well they do it... An i am sure who ever takes on this task of planing such a big event. Is going to put so much efort into that, that it will be a great event wink.gif

2) Well i do not agree with that point if i understood you right. It is important to plan such things in advance. And 1 Year is not much time! I planed one of the GT Four meetings myself. And it is a lot of work!!! So lets get some ideas together (when, where and how) and then lets build a organization team (with wolf and who ever would like to participate) because it is a lot of work! Trust me smile.gif

3) I never said that it would be a GT Four event... Please reread my post. I was just trying to offer my help and wanted to point out some facts i had to encounter while i organized the last years meeting. I am sure you will agree. Anyway, we both said it is a Celica meeting. So lets get back to the point where we plan this meeting.

I would say lets make a full 2 Day Event.
With 1/4 Mile (looking forward to see u there Tufy wink.gif )
some time on a great racetrack
and maybe a nice party at the track with our cars music, drinks and a BBQ....

So Wolf is Imola a racetrack we could rent for a day? (Is it possible? How high are the costs? can we use the space around the treck for side events?)
What else can we do at the same time at this location ( 1/4 Mile???) while maybe 40 of the 250+ cars are on the track?

snakeloa: sorry mate frown.gif .. i missed the part of other celica communities. i am just making sure for all of us to understand that is a celica meeting smile.gif all celicas are welcome the meeting will be organised to the last detail, its going to be a 2 day meeting (saturday and sunday) imola unfortunately is not an option (unless they reply to my emails) but as i can understand there are many tracks in italy we can use. the more people the better but till the last moment any one can join the meeting. the number of the celicas on the meeting does not affect the planning of the actual meeting. only hotel planning can be changed. any way in 2-3 months that everyone is informed about this (from websites and local clubs) we will have a good idea of the number of celicas and people there.

so to put an other name to the list

don't worry about that.... the meeting is ALREADY ready, one year in advance !

Because I'll use the format I already used for every italian national meeting I made here.

So this is not a problem.

The only thing really important for me would be to know the EXACT ( +/- 10 ) number of participants...
and this could be know only few months before the date.

I could say that for the 31 MAY 2007, I have to know who will be here.

And I'll have to have a money account for EVERY participant:
that's how I make for every meeting I made to avoid problems with hotels, b&b, or restaurants' reservations.

For example a 150 euros account should be enough for a 2 days meeting.

And 50 euros more if we want to rent a track.

No.
Imola is IN Imola city, so they allow to use the track only in FEW important events per year, Formula 1 and a drag race...

We could rent the local track in Varano ( www.varano.it ), it should be ok for a 1/8 mile
Prices are 6500 euros reserved for us for ALL the day, with 50 cars it'll going to be a 130 euro for participant... but I think we are going to be more than 50 cars...
at least 20 cars from our celicat20.it, so the rent of the track should be cheaper...



To tell the thruth I'm sure it won't be so difficult to organize it and I tell you why...
because to move so many ( 50 ? ) cars, with many not-italian people, every transfer will be VERY slow...
so if we are planning to make a trackday for a day,
the other day we "only" will have the time to go to Maranello to see the "Galleria Ferrari"... 1,5 hours to go, a pair of hours to stay there, and 1.5 hours to return in Parma... then some fast mountain roads to go to the dinner place, and the day is gone !

Exactly... I know this...

the first days of the 2007 I'll have a look on their calendar and see if the 25 August would be free...

If it's, I'll call them and pay in advance in May 2007, when I'll receive the money from the participants...

If it is not... I'll look for another track, but the problem would be it will be MANY kms from here... so much time lost in transfers...

As we plan to have a meeting with a trackday we need to think about a few things:
  • Which track is well suited for us (remember only one group @ the time will be on the track)
  • How many participants as a group can enter the track @ the same time
  • How many groups can drive during that day? (from when to when?)
  • Can we hold a 1/4 mile race @ the same time at the track location or nearby
  • How much will this track cost in total?
As we are going to spent nearly the whole day @ the track area do we have enough space to park all these Celicas? I mean an area where we all can look under each hood and have a nice tech talk....

I think the track question is more important than the question for the location where we are based (hotel...). Because as you remarked right in this big group we are slow... and we cannot travel to much. We want to spent these 2 days together... but not half a day in a slow convoy wink.gif So i think first need a track and then we build everything around that...

Just as an Idea. This is the varano track layout...

maybe we could use the big redmarked track as race track and the small red marked "Test Area P3" as our 1/4 mile area.

I guess we need a track with:
  • A race track
  • something like a 1/4 mile or drifting area
  • a parkingarea or a flat field where we can park all cars and have our tech talks
  • an area where we can sit and watch the others go wild on the track or on the drag strip
Lets keep everybody busy with something or offer them options to do something while they are waiting to get on the track

i think the best solution is all car to be in the pit lane. (i suppose if u rent the track we rent also pits and timers) so plenty of room (28 full pits rooms says in the website) and we can get lap times for each car (correct me if i am wrong). so who ever wants to go on track will have no problem (i believe very few will want to go test their time with beasts racing:P

a convoy is slow in cities but on highway with the right cars at the write spot is perfect (in cyprus we manage to get up to 130 cars in same line going at legal speed with no problems of getting lost) of course is going to be slow (rwd + lwd cars, not familiar with roads) but i dont think is going to be tragic

The pit lane usually has to be clear for ambulance and firefighters... ( We have to get some information about the habbits of this track... Wolf?)
And in the pit boxes we might manage to fit 28 maybe double = 56 cars....
So we need some kind of area to fit the other 400 wink.gif
We would need a schedule (for Ex. 15:00 Group b enters pitlane; Group a enters Drag Strip....) I think we have to realize that a few hundred cars need quite some space and could if not well scheduled cause a great confusion...

So if we want Wolf could get into contact with this Race track and ask them:

Is the track available at our date?
How many cars can enter as a group the pit lane area and the track?
Could the racetrack be like i described obove half raceway half 1/4 drag strip?
Do they have an additional area to place the other cars which are neither on the strip nor in the on the track?
please feel free to add more questions...

Joerg.... I know how to do it.

Please organize the German convoy, and read twice what I already write about the track's availability, about the drag race, and the track's costs.

I'll care the meeting organization by myself, as I already done it many other times.

As I already told, you, the national referents, just have to tell me how many members from your nation, before the 31 of May 2007, and pick up the money accounts.
